Participants and Permissions

Participants in Submittals The submittal process involves several roles. Note that these roles may use different titles in your company. Use the table below to consider how members of your team might interact with the Submittals tool. For example, a project manager or construction manager may be assigned as a Submittal Manager. This is a set role within the Submittals tool and has specific permissions that other roles don’t. See the Permissions section below for more information.

Role

Description

Responsible contractor

The Responsible contractor is typically a subcontractor. This role is responsible for submitting documents for approval.

Responsible contractors can add submittal documents, add comments, and submit to managers for review.

Submittal Manager

A Submittal manager is typically a general contractor. In Forma Build, Project Administrators must assign Submittal Managers.

Submittal Managers are responsible for many parts of the submittal process, including:

• Creating items and packages
• Assigning items to responsible contractors and reviewers
• Creating the review workflow
• Sending items to review
• Closing and distributing items

Required reviewer

A Required reviewer is typically an architect or member of the design team.

Required reviewers are responsible for reviewing and then approving or rejecting a submittal.

A submittal item can’t move to the next step until all required reviewers respond.

Optional reviewer

An Optional reviewer is typically an engineer or consultant who is asked to give feedback.

A submittal item can move to the next step even if optional reviewers haven’t responded.

Watcher

Watchers are various project stakeholders who receive notifications via email on status changes for submittal items.

Watchers may add comments or attachments to a submittal, but they can’t provide a review response.
